In this article, I will show you how to create invoices in Recurly based on data in your Google Sheet.
Why would you want to do this? We see this a lot for companies who have usage-based billing where say at the end of the month they need to calculate how much a customer has used compared to their contracted amount and send an invoice reflecting the difference (if they are overutilized).
While Recurly supports usage-based billing, there's no way to review usage invoices before they're sent out. This means, if a customer wants customization (e.g., different usage-based metric or consumption period), this will need to be done manually. In many cases this is done in a Google Sheet because it's easier for engineering to export a CSV with monthly usage and compare it to contractual amounts in a spreadsheet where formulas can be easily created and changed versus say a Metabase dashboard.
Here's how to set things up:
- Create a Google Sheet that has everything you'd want to put into Recurly
- Book time with us and we will add a tab to this spreadsheet where you can link data and upload invoices when you're ready
- Hit the "Approve" button in the tab we create for you
- Let the time savings roll in!
Don't believe us? Here's a video of how exactly this would work:
As you can see in the video, you're able to set all the terms you would normally set in Recurly including net terms. You're also able to define line items in the invoice accordingly. With this flow you'll never need to manually create invoices in Recurly ever again but can set it up programatically with a Dimely AI agent!
